Team Leader Guidelines

Welcome to Bookkeeper's Detox!

These guidelines are here to make sure that working together as a Team Leader with Bookkeeper’s Detox is as smooth and effective as possible, these are to be read in conjunction with our Team Leader Terms and Conditions which can be found here. Certified CPD

You and your support team will receive a one-hour recorded webinar to support our current month's topic, to be watched before your team's mastermind session. Please encourage your team to watch this in advance by highlighting any support it has provided to you. We hope that when watching the recording, you are able to find it useful and make notes of the points raised to openly discuss with your team, in order to generate content for your session and receive support in hosting your team. What are their experiences and ambitions on this subject?

You and your team will receive CPD certification detailing your own individual names once you have completed your individual webinars. The entire Bookkeeper’s Detox Network will be watching the same recording each month, so if you are hosting more than one team, this should be helpful to you.

Mastermind Sessions
You'll be hosting a one-hour mastermind session for the support team you're assigned to as a team leader, and we'll do this via Google Meet. Our meeting week for all teams is during the third week of the month, and we try to schedule them around 1 pm to support the school run. You will have already agreed on your chosen day with us, and we have built your team around this day, so we hope it consistently works for you. During these sessions, we'll stick to our Team Leader Terms and Conditions as found here. We ask that you please do not record your sessions for the protection of confidentiality.

We kindly request that you opt for the ‘Slightly blur your background’ option for your meeting, which can be found under ‘Apply visual effects’. We believe this will provide a safe and consistent presentation throughout our calls. Please make sure you are in a private setting for confidentiality purposes. Also, ensure that it is lighter in front of you than behind you to make yourself clearly visible to your team. You may choose to do this with a gentle lamp or by facing a window so no shadow is cast over your face.

We kindly ask that you facilitate team discussions evenly and positively in a ‘non-advisory’ manner, encouraging the sharing of experiences and ambitions, while abiding by our ethics and our Code of Conduct as found here. Encouraging subcontracting to each other is welcome where helpful, with individual engagement between yourselves professionally and independently.

Please keep to the hour as your valued time is precious! If you are happy to run a longer meeting, please consider hosting an additional group instead so that we can pay you for this extra time and you can grow more support for your own practice.

A quick greeting by name around the group to start off with and closing with your next meeting date and time is advised. Feel free to send out an agenda if it helps you, or just explore the topic of the month loosely encouraging conversation and pointing members to the Google Drive folders.

Management Meetings
We'd love for you to join us for a one-hour management meeting of Team Leaders each month. We'll be using our Google Meet platform and meeting at 1 pm on the 3rd Monday of every month. This is a moment for you to check in and share anything that will be helpful to you for running your sessions. We can also update you on any new partnerships we have developed or ideas we have, too.

Encouraging Bookkeeper's Detox Network Usage
We'd really appreciate your involvement in encouraging the use of the Bookkeeper's Detox Network on WhatsApp by all members, including your Support Team. Please refrain from creating a separate WhatsApp group with your team, so that all member questions and experiences are shared in the main 'Bookkeeper's Detox Network' group. Direct emails with your team are acceptable and essential for planning and reminders. We will provide you with your own email address through Google Workspace. You will also have access to Google Drive for sharing team documents to support your sessions and topics of the month. Please encourage members to visit the folders for reference to past topics and add anything helpful. Any potential client referrals should be on a business-to-business basis without sharing personal data. Thank you.

Payment and Substitution
As a Team Leader, you get free membership and access to Google Workspace Business software for your role. You'll also receive the Team Leader Fee for the Support Team sessions you host, which is 30% of all paying members from your team. Payments will be made on the last day of the meeting month upon receipt of your invoice. Please address all invoices to ‘Bookkeeper’s Detox Ltd’ and email them to hello@bookkeepersdetox.com. If you're unable to host a session for any reason, including illness, you won't be entitled to the Team Leader Fee for that session. In such cases, we'll find a replacement from Bookkeeper’s Detox and they will receive the fee for covering that session to keep your team rolling for you.

Responsibilities and Compliance
We trust that you will deliver the Team Leader Services as detailed in our Team Leader Terms and Conditions and respect our Code of Conduct.

You and your team will be signing a Confidentiality Agreement, please do read the details of this agreement to understand yours and your team’s confidentiality obligations. 

Please read the following statement to your team on your first session:

“You are responsible for ensuring that any use of your client’s data as part of your membership with the Bookkeepers Detox is compliant with all relevant data protection laws and legislation and that there is transparency of such use within your own privacy policies between you and your clients. Please see the ICO and your governing bodies for any further reference on the privacy policies you should have in place.”

Encourage the team to support each other in sharing ideas and any paragraph/s they will be adding to their privacy policies to achieve their obligations. Bookkeeper’s Detox is unable to advise on this as each member is responsible for their own use of their client’s data and their own policies and procedures within their practices. Please also refer to the signed confidentiality agreement wording for reference.
